Terms and Conditions for Panda’s Play

These Terms and Conditions outline the rules and guidelines for participating in Panda’s Play sessions and by booking onto a session you are agreeing to these. Please read them carefully. When  referring to “we“, “us” or “our“, we mean Panda’s Play; and when we refer to “you” or “your” we mean you, the person making a booking. Once confirmation of your booking has been sent, these terms and conditions become binding.

Established in 2025, Panda’s Play is a sole trader. These Terms and Conditions are guidelines for our business and should you need to contact us regarding these, please contact us by emailing info@pandasplay.co.uk.

Registration and booking

Parents or designated adults must complete the booking form accurately and provide all necessary information about their child/children. If there are any changes to you or your child/children’s personal data  please let us know as soon as possible by emailing  to ensure we have the most up to date information.

Attendance

Panda’s Play is aimed at children between 2 and 5 years old and their parents/guardians, younger siblings are also welcome to attend sessions. Children up to the age of 7 are welcome to attend special events and holiday sessions when they are booked in as a sibling. Panda’s Play sessions aim to promote a love of learning through play based activities, there is a mixture of adult led and child led activities. We aim to provide a welcoming and supportive atmosphere for both parents/carers and children where they can develop, learn and play together.

Although we appreciate that sometimes it is not possible to make it on time, please do try to get to the session 5 minutes before the start time. This allows for the smooth running of our sessions, and to enable you and your child to get the most out of it as possible.

Risk Assessments

A session leader from Panda’s Play conducts a risk assessment of all the venues we use. Risk assessments and policies of use of the venues are also available from the venue provider if needed.

 It is important to recognise that accidents can happen even when every effort is made to keep the environment safe and secure, and using good quality resources that are in a good usable condition. Panda’s Play kindly remind parents/designated adults to supervise their child/children at all times before, during and after the session whilst at the venues we use. Panda’s Play cannot be held liable for any accidents, injuries, loss or damages that may occur during our classes or at any other time within our venues.

If you leave personal belongings unattended during the sessions, Panda’s Play is not responsible for theft or damage.

Supervision and Age-Appropriate Resources

During our adult and child sessions, some resources and materials provided may be specifically designed for children under the age of 3. These resources will be clearly marked and kept in designated areas or placed on a table.

It is the sole responsibility of the parent/designated adult to supervise their child at all times during the session. Parents/designated adults must use their discretion to determine whether any resource or activity is appropriate for their child to engage with, regardless of the indicated age suitability.

By participating in these sessions, you acknowledge and accept full responsibility for your child’s safety and wellbeing, including ensuring they interact only with resources you deem suitable for their age and developmental stage.

Allergies and Ingredients

At Panda’s Play, we sometimes use materials in our activities that may contain common allergens – for example, flour (which contains gluten) in homemade playdough. While we do our best to keep things safe for everyone, we can’t guarantee that all of our resources will be free from allergens like wheat, dairy, or nuts.

It’s really important that you let us know about any allergies or intolerances your child has when you fill out the booking form. This helps us plan ahead and keep your little one safe.

We do not encourage children to eat or put in their mouths any of the resources provided at the sessions, with the exception of the fruit at the 'fruit station'. Please make sure to keep an eye on your child during sessions, especially when they’re playing with materials that could pose a risk if they have an allergy. 

Panda’s Play can’t take responsibility for allergic reactions if we haven’t been informed in advance, or if children are left unsupervised around potential allergens.

Health and Safety

Children must always be accompanied by a responsible adult over the age of 18. We ask that one adult is responsible for no more that two children during the session. When entering the venue, the adult must actively supervise their children throughout the Panda’s Play session, including before and after the session has finished. Parents/designated adult assume full responsibility for their child’s safety and behaviour. Parents/designated adult are expected to ensure their child’s behaviour is kind and respectful of others in the session, the class leader and equipment at all times. If equipment is damaged due to misuse or improper handling, parents or designated adults will be responsible for covering the cost of a replacement.

If an accident occurs during a Panda’s Play session, a staff member can provide basic first aid supplies for the parent /guardian to administer or support in administering first aid. An accident report form will be completed by a staff member and parent/designated adult to ensure proper documentation is kept.

Panda’s Play are not responsible for any injuries, accidents, loss or damages that may occur during, before or after any sessions whilst at Panda’s Play venues. 

Behaviour

Attendees of Panda’s Play sessions are expected to behave in a way that is respectful and kind towards others. This includes other children, adults and session leaders. Parents/designated adults are responsible for managing the behaviour of their child during the sessions. Listening to the session leader and following the rules and guidelines set out is crucial, failure to do so may result in removal from Panda’s Play sessions without a refund.

Panda’s Play reserves the right to request that children, or adults, displaying behaviour that is deemed as consistently disruptive or dangerous be removed from the venue immediately.

Food and Drink

We ask that food and drink only be consumed in the designated ‘snack area’ during the sessions. Fresh fruit and water are provided, please bring cups or bottles to take advantage of this. Whilst you may bring your own additional snacks to the session if needed, we kindly ask that these are also eaten in the ‘snack area’, to protect and keep clean our resources, and  that they are nut free to support any attendee with allergies. It is important that staff are alerted to, and that any spillages/crumbs are cleared up quickly in order to prevent accidents.

Illness

To prevent the spread of illness and infections, parents/designated adults should not attend sessions if they or their child have been feeling unwell, or are showing symptoms of contagious illness.

Please do not attend if:

  • You or your child has had sickess or diarrhoea within 48 hours of the session

  • You or your child has a fever or has had a fever within 24 hours of the session

  • You or your child is showing symptoms of the following: Covid 19, Norovirus (sickness and diarrhoea), Chickenpox, Measles, Mumps, German measles (rubella), Slapped cheek, Hand foot and mouth, Impetigo, Scarlet fever, Whooping cough.

Hygiene is important at Panda’s Play. Equipment is regularly cleaned and sanitised before, between and after sessions. Resources are checked regularly to ensure they are safe and hygienic, they are replaced when assessed as unfit for purpose and high use objects are replaced regularly. In the interests of hygiene, we ask that all attendees leave their shoes at the side of the venue during the session and clean, non-slip, socks are worn when accessing the session.  

Photographing and Videoing

Photographing and videoing your child during Panda’s Play sessions is accepted however we ask that the privacy of others is respected and children, other than your own, are not included in any of the captured media. If a chid is accidentally captured, please ensure these are not posted on any social media channels without the parents prior permission.

Permission to photograph your child in the session has been sought by Panda’s Play during the booking process. If there are any changes to this consent, please inform Panda’s Play by emailing info@pandasplay.co.uk and telling the class leader immediately.

Panda’s Play session leaders have the authority to request that photographing and videoing is stopped during the session. This decision is final and, if filming does not cease, you will be asked to leave the session immediately, with no refund issued.

Payments, changes and Cancellations

Payments are made for sessions at the time of booking. This may be a block term booking or a one off session.

Refunds will not be issued unless Panda’s Play cancel a session however when an alternative class is offered, refunds will not be given. This does not include severe weather, beyond our control, where a refund will not be issued. Parents/designated adults will be notified of cancellations as soon as possible.

If you are unable to attend a session, you may gift your session to a friend however you must contact Panda’s Play before the session to share the friends information and fill in the session change form.

Requests to transfer termly session bookings to another location or time may be considered at the discretion of the Panda’s Play leader.

Panda’s Play reserves the right to make changes to the schedule, sessions, activities or location at any time. Prior notification will be given to session attendees if such changes are made.

All decisions made on changes, cancellations, refunds and transfers are at the discretion of Panda’s Play and these are final.

Safeguarding and Child Protection

At Panda’s Play, the safety and well-being of all children attending our play sessions are of the utmost importance. We are committed to creating a safe and nurturing environment for both children and adults. To ensure this, we adhere to the following safeguarding principles:

  1. Safeguarding Commitment
    We follow strict child protection procedures in line with UK law and local safeguarding guidelines to ensure the safety of all children attending our play sessions. Our staff members are fully trained in safeguarding practices, including identifying signs of abuse and neglect.

  2. Supervision of Children
    Children attending Panda’s Play sessions must be supervised by a parent, guardian, or designated responsible adult at all times, including before and after the session. We do not take responsibility for the child’s supervision outside of the structured activities provided during the session.

  3. Safeguarding Procedures
    In the event of any child protection concerns, including but not limited to suspicion of neglect or abuse, Panda’s Play will follow safeguarding protocols. This may involve reporting the concern to the appropriate authorities, such as local safeguarding boards or child protection agencies, as required by law. If a parent/designated adult has any concerns we ask that these are reported to the session leader and emailed to info@pandasplay.co.uk. Any reports will be treated confidentially and in accordance with our privacy policy.  Personal information will only be shared on a need-to-know basis, where we believe a child’s safety is at risk, and with the relevant authorities for investigation purposes.

  4. Code of Conduct
    Our staff adhere to a strict code of conduct to ensure appropriate behaviour towards children, parents, and caregivers. We ask that all attendees respect our guidelines and act responsibly to ensure a safe and positive experience for everyone.

  5. First Aid and Emergency Procedures
    Panda’s Play has a basic trained first aider on-site during every session. In the event of an emergency or accident, first aid will be administered promptly, by the first aider or first aid resources given to the parent/caregiver to administer themselves. Guidance for how to respond in an emergency (such as fire) are given at the start of each session.

  6. Communication and Concerns
    If you have any concerns regarding child protection or safeguarding, we encourage you to communicate with us promptly. You may contact info@pandasplay.co.uk, and we will address any concerns in line with our safeguarding policies.

By attending Panda’s Play sessions, you agree to abide by these child protection and safeguarding policies to ensure a safe and supportive environment for all children.

Our Legal Liability

Panda’s Play, its staff and representatives shall not be held liable for any direct or indirect damages, injuries, losses or expenses incurred during the participation in Panda’s Play sessions or whilst at Panda’s Play venues.

Complaints Procedure

Panda’s Play aim to ensure that all parents/carers and children are satisfied and happy with our sessions. However, if you do have a complaint, please follow the steps below so we can help to resolve the issue as quickly as possible.

  1. Discuss your issue with the session leader at an appropriate time (e.g. the end of the session)

If you are still not happy:

  1. Make a written complaint to us via email at info@pandasplay.co.uk

All complaints are thoroughly investigated and taken seriously.  If you email a complaint, you will receive a response within 28 days of the original complaint email. All decision made by Panda’s Play in relation to complains are final.

Breach and Termination

In the event of a breach of these Terms and Conditions, the following actions may be taken without prior notice:

  • We may issue a warning to you

  • We reserve the right to temporarily or permanently withdraw your attendance at Panda’s Play sessions without a refund or compensation

  • We may initiate legal proceedings against you to recover all costs associated with the breach, including reasonable administrative and legal expenses

  • We reserve the right to pursue further legal action as deemed necessary

Panda’s Play reserves the right to cease sessions for any attendee if there is a violation of these Terms and Conditions. Termination shall be at the sole discretion of Panda’s Play and no refunds will be provided.

By booking your child onto any Panda’s Play sessions, you acknowledge that you have read, understood and agree to these Terms and Conditions. Panda’s Play reserves the right to update or modify these Terms and Conditions as necessary.

Every clause in these Terms and Conditions works separately. If a court or authority decides that any part is not allowed or cannot be enforced, the other clauses will still apply.
